Depending upon the size of the company, it may be better to host the management system virtually as opposed to internally in order to reduce implementation and maintenance costs. The main component of the majority of robust personnel management systems is the actual management of the personnel. These systems allow companies to view their entire workforce and corporate hierarchy. Often, these systems will allow the user to view all of the pertinent information associated with a particular employee, including contact information, job title, and hire date. This is critical to any organization as it allows a company to disseminate critical information to the correct people.


Personnel management systems are also able to track the time and attendance of a workforce. These personnel systems are often implemented by companies that have a variety of hourly and temporary workers on staff. Companies that employ virtual contractors worldwide often find this type of management system invaluable as it allows the executive staff to oversee the hours that are being worked and the productivity of the workforce. As a way to increase productivity within the company, many management systems will allow the management team to assign tasks within the time and attendance portion of the system, allowing for more transparency in the number of assignments that an employee is responsible for and the amount of time it takes to complete them.

When companies need to hire new employees, there are several systems available that strictly manage the application process. These personnel management systems allow a human resource department to effectively track new applicants and conduct background checks directly from the system. Upon hiring a new staff member, these systems can automatically create a corporate email address for the new employee and send him or her a checklist that pertains to the next set of tasks that need to be completed.

Lastly, there are personnel management systems that are specialized for administrating group benefits such as health insurance and retirement plans. These specific systems allow users to choose their benefits, such as selecting between different levels of health insurance coverage or determining the portfolio allocation of one's retirement plan. This type of system is also beneficial to the human resources department of a company as it allows changes in the benefits plan to be communicated to all applicable users in a quick and efficient manner.
